Use case: Draft a budget before you have any quotes
Your VP wants a rough number for next spring’s sales kickoff, and you haven’t contacted a single hotel yet. You know the city, the dates, about how many people are coming and how much you’d like to spend.
Before you start
Create the event and fill in its city, dates and expected attendees. You’ll see them at the top of the box in step 3.
Draft it
- Click Budget, then Build.
- Click the + button on the right. In the New scenario menu, choose From vision.
- Check the event details at the top of the box. If something’s wrong, click Cancel, fix it in Event settings, then start again.
- Pick the event type and format. Then choose Hotel block (rooms a hotel holds for your guests) or Non-hotel.
- Add the number of breakout rooms (smaller rooms for sessions outside the main room) if you know it.
- Choose a Budget ambition: Economy, Medium or Premium. It sets the typical costs Aletheia starts from for food and drinks, AV (sound, screens and lighting), room rates and gifts.
- If you want, click the areas that matter most, like F&B (food and beverage) or AV, and add notes such as “two evening receptions” or “the CEO keynote needs full staging.”
- Click Create draft.
What you get
Aletheia drafts a new scenario, which is a separate version of your budget, using typical costs for the Budget ambition you picked. Any number that doesn’t match it gets flagged so you can adjust it.
If you picked the wrong one, make another draft and compare the two on the Compare tab.
