How do I build a project timeline in Aletheia?

Your guide to generating, reviewing, and syncing your project timeline in Aletheia.

What is the Timeline Module

The Timeline module builds your event’s task list for you. Tell it your event date and which workstreams you’re running, and Aletheia works backward from that date to lay out every task your team needs to hit, with suggested due dates already attached.

Instead of starting from a blank planning doc, you start from a full draft timeline – and you decide what to keep, what to change, and what to skip.

Worth knowing: Aletheia’s default task timing is built for events six months or more out — that’s how the recommended due dates are spaced. Planning something closer than three months out? You can still use Timeline, just plan to manually adjust the suggested dates afterward so they make sense for your shorter runway.

Generating your timeline

Before you open the Timeline module, be sure you have an event set up in Aletheia that includes an event date.

Open the event you want to create a timeline for. Click Timeline, then Build. You have three ways to start:

  • Ask Aletheia: get suggested tasks based on your event details.
  • Use files: upload your agenda, contract or a timeline template.
  • Connect a task system: link a project in Asana or a plan in Microsoft Planner. An event can link to one or the other, not both.

To add a task yourself, click Add Timeline item.

Dates from a contract show up under Contractual Deadlines. Compare them with the contract. A date that has already passed shows as overdue.

Track your work

Timeline’s Track page shows your tasks as a List, a Calendar or a Gantt chart (bars that show when each task starts and ends). You can group tasks by area, like Travel or AV, or filter by date. Update each task’s status as work gets done.

Connect Asana

Link Asana before you add your tasks. Tasks already on your timeline when you link aren’t sent to Asana.

  1. Click Integrations in the left menu and connect Asana.
  2. Open your event’s Timeline, then Build, and click Connect a task system.
  3. Click Link Asana and pick the project.

After that, tasks you add in Aletheia show up in Asana, and when you mark one done, Asana updates too. Changes made in Asana don’t come back on their own. Click Import from Asana to bring them in.

Connect Microsoft Planner

Planner works the same way. Link the plan before you add tasks.

  1. Click Integrations in the left menu and connect Microsoft Planner.
  2. Open your event’s Timeline, then Build, and click Connect a task system.
  3. Click Link Microsoft Planner, choose your plan and click Link plan.

Changes you make in Aletheia go to Planner. Changes made in Planner come in when you click Import from Microsoft Planner.
